IDEKA takes personal information protection seriously. This policy explains our practices related to the website, online forms and resulting communications. It is intended to reflect applicable Québec and Canadian requirements, including Québec’s Act respecting the protection of personal information in the private sector as modernized by Law 25, and PIPEDA where applicable.
1. Accountability and contact
IDEKA is accountable for personal information under its control. The person acting as Privacy Officer may be reached at info@ideka.ca. Questions, access or correction requests, and complaints may be directed to that person.
2. Information we collect
When you use the contact form, we may collect your name, email, telephone number, organization, subject and message. Our systems may also process technical data needed to operate and secure the site, such as IP address, browser type, security logs and session data. Please do not submit unnecessary sensitive information.
3. Why we use this information
We use information to respond to enquiries, assess service needs, communicate with individuals, operate and secure the site, prevent fraud, comply with legal obligations and improve our services. We limit collection and use to identified and reasonable purposes.
4. Consent and choices
We obtain valid consent where required and identify relevant purposes at or before collection. You may withdraw consent for future uses, subject to legal or contractual restrictions and reasonable notice. Some information is necessary to respond to an enquiry or provide a service.
5. Electronic communications and CASL
IDEKA distinguishes responses to an enquiry from commercial electronic messages. Where a commercial message is subject to Canada’s Anti-Spam Legislation (CASL), IDEKA seeks the required consent, provides prescribed identification information and includes a working unsubscribe mechanism. Individuals may withdraw consent to commercial communications at any time.
6. Cookies and similar technologies
The site currently uses strictly necessary cookies for session, security and form-protection functions. These cookies are not used for behavioural advertising. If IDEKA adds non-essential analytics, personalization or marketing tools, this policy will be updated and an appropriate choice will be offered where required by law. You may configure your browser to block some cookies, but essential functions may stop working.
7. Sharing, providers and transfers
IDEKA may share information with providers supporting hosting, security, communications or operations, only as needed and subject to appropriate contractual measures. Some providers may process data outside Québec or Canada, where local laws apply. Before a transfer outside Québec requiring an assessment, IDEKA applies the measures required by law. IDEKA may also disclose information where legally required.
8. Retention and security
IDEKA retains information only as long as needed for identified purposes, legal obligations and reasonable records management, then destroys or anonymizes it in accordance with its practices. Administrative, technical and physical safeguards proportionate to information sensitivity are used. No system can guarantee absolute security.
9. Access, correction and other rights
Subject to legal exceptions, you may request access to personal information held about you, correction of inaccurate or incomplete information, and information about its use and disclosure. Depending on the legal context, other rights may apply, including consent withdrawal and computerized portability. Identity verification may be required.
10. Incidents, complaints and updates
IDEKA assesses privacy incidents and takes required measures, including legally required notices and records where a risk of significant harm is established. You may also contact the Commission d’accès à l’information du Québec or the Office of the Privacy Commissioner of Canada, depending on the applicable regime. IDEKA may update this policy; the updated date identifies the current version.
